  • Account information: Email address used for authentication and account management
  • Phone numbers: Recipient phone numbers you provide for SMS delivery
  • Email content: Incoming alert emails processed for SMS conversion (retained temporarily for delivery)
  • Usage data: Message counts, delivery status, and platform usage metrics
  • Technical data: IP addresses, browser type, and access timestamps for security purposes

3. How We Use Your Information

Your information is used exclusively to:

  • Provide and operate the email-to-SMS bridge service
  • Authenticate your account via magic link login
  • Deliver SMS notifications to your designated recipients
  • Generate usage reports and billing
  • Maintain platform security and prevent abuse
  • Communicate service updates and important notices

4. Data Storage and Security

We take the security of your data seriously:

  • All data is stored in Amazon Web Services (AWS) infrastructure
  • Data at rest is encrypted using AWS Key Management Service (KMS)
  • Data in transit is encrypted using TLS/SSL
  • Multi-tenant architecture ensures strict data isolation between accounts
  • Passwordless authentication via magic links eliminates password-based vulnerabilities

5. Data Retention

Email content processed for SMS conversion is retained only as long as necessary for delivery and troubleshooting, typically no more than 30 days. Account information and phone numbers are retained for the duration of your account. Usage logs are retained for billing and compliance purposes. You may request deletion of your data at any time by contacting us. Upon account termination, your account data will be retained for thirty (30) days and then permanently deleted, unless a longer retention period is required by law.

6. Data Sharing and Mobile Information

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Recipient phone numbers and SMS opt-in and consent data are used solely to deliver the alerts you configure. Text messaging originator opt-in data and consent are never shared with any third parties. We do not sell, rent, or trade your personal information.

We share information only with the infrastructure subprocessors required to operate the platform, and only to the extent necessary to provide the Service:

  • Amazon Web Services (AWS): Cloud infrastructure, including SES (email receiving), SNS (SMS delivery), DynamoDB (data storage), and Lambda (processing)
  • Vercel: Website hosting

These subprocessors act on our behalf to deliver the Service and are not permitted to use your data for their own purposes. We may also disclose information where required by law or to protect the rights, property, or safety of SigSpan, our users, or others.

7. Cookies and Advertising

The SigSpan marketing website (sigspan.com) uses essential cookies required for site functionality and the Google Ads tag (gtag.js) to measure the effectiveness of our advertising — for example, to understand which ads lead visitors to start a free trial. This advertising data is limited to website activity and is never linked to the content of your alerts, your recipient phone numbers, or your message data. The SigSpan application (app.sigspan.com) uses session cookies for authentication only. You can control cookies through your browser settings.

8. Your Rights

You have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data
  • Export your data in a portable format
  • Opt out of non-essential communications

9. SMS Consent and TCPA Compliance

SigSpan is designed for transactional, non-promotional business communications. Recipient consent is obtained and managed by the account holder operating the alerting program. SMS recipients can opt out at any time by replying STOP, or reply HELP for assistance. We maintain opt-out records and ensure all messages comply with the Telephone Consumer Protection Act (TCPA). Recipient opt-in and consent data are never shared with any third parties.

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the updated policy on this page with a revised "Last updated" date. Continued use of the service after changes constitutes acceptance of the updated policy.
